Job Summary
The Administrative Assistant reports to the President and will be responsible for assisting our professionals in managing our client’s files and workflow. The ideal candidate will be friendly, energetic, and self-motivated with strong computer skills and great attention to detail.
Responsibilities Include:
- The Administrative Assistantshould have experience in managing time and tasks within a busy professional office environment and have the ability to focus on the priorities of a rapidly changing day.
- The incumbent has excellent MS Office applications skills, especially Outlook, Word, Excel and PowerPoint; superb phone presence, organizational and time management skills and the ability to multitask effectively.
- Independently manage client’s files through effective and professional communication with key stakeholders; legal representatives, accountants, and clients
- Proactively monitors and responds to all client inquiries and is focused on delivering superior customer satisfaction
- Coordinating document workflow including; sourcing documents, drafting, editing, and billing
- Prepare and review bills, perform weekly review with Quality Assurance team to follow up on outstanding invoices
- Handle client matters expeditiously, proactively, following-through on projects to successful completion with deadline pressures
- Ability to think in a logical manner, demonstrate independent judgment and solve problems.
Qualifications
- Bachelors or College degree an Asset
- Working Knowledge of taxes, and Insurance Act an asset
- Technically proficient in MS Office; Microsoft Word, Excel, Outlook
- Strong analytical / organizational skills and creative problem-solving skills
- Ability and motivation to work independently with minimal supervision, to work efficiently and manage time appropriately
- Must thrive under pressure and prioritize efficiently while maintaining a high caliber of accuracy and attention to detail
