The opportunity

The firms are actively searching for a receptionist to join their busy practices. The successful candidate will have excellent customer service and strong organizational skills.

Responsibilities

● Greet clients ensuring prompt service, prepare beverages as requested

● Answer all incoming phone calls and direct them to the proper lawyers or staff

● Book and set up boardrooms for meetings

● Maintain petty cash

● Liaison with vendors and service providers, as needed

● Send couriers and mail; Distribute mail and deliveries

● Maintain front office area, kitchen, and boardroom

● Maintain and order office supplies, coffee, tea, and other beverages

● Data input, posting invoices, cheques, postage, and couriers

● Verify and process payments (cheques/credit card)

● Prepare expense reports and make bank deposits

● Update law materials; Scan documents and making photocopies

● Assist Bookkeeper, as required; Assist office staff with any additional administrative duties, as required

Who you are

● Strong communication skills, oral and written

● Ability to work efficiently under tight deadlines and prioritize tasks

● Strong attention to detail

● Strong knowledge of Microsoft Office (Outlook, Word, Excel, and PowerPoint)

● Strong time-management, organizational, and document/file management skills;

● Highly organized and detail-oriented

● Excellent written and verbal communication skills
