Summary
The incumbent is responsible for providing administrative support to a Legal Team in the Legal Services Department. The Legal Assistant is also responsible for managing outside counsel invoice payments, Department calendars as well as the coordination and planning of meetings.
Specific Responsibilities
- Provide legal secretarial and administrative support to a Legal Team, including confidential correspondence, and general support to all the members of the Legal Services Department
- Open and close legal files (electronic and paper) in accordance with established system. Performs all aspects of file administration.
- Draft and prepare basic correspondence and other documents for professional approval/signature using precedents
- Manage calendars and make necessary arrangements for internal and external meetings including room reservations, refreshments, and audio/visual equipment
- Arrange travel and accommodations as required
- Track contract executions and renewals
- Track litigation and tribunal milestones; assists with preparation of litigation/tribunal material using templates
- Prepare and distribute various reports as necessary
- Receive and screen communications to the Department including telephone calls and e-mail messages, and provide assistance to determine those requiring priority attention
- Prepare presentation materials utilizing PowerPoint
- Manage legal invoice payments including approvals, tracking and processing invoices for payment by Accounting
- Other duties as assigned.
Qualifications
- College diploma
- 2 – 3 years of previous work experience in a similar role including litigation support
- Advanced computer skills with Microsoft Office Suite
- Excellent written and verbal English communication skills (in French would be an asset)
